Data Retention Policy
Effective Date: [01-01-2022]
At Hosting Point, we are committed to protecting our customers’ data and maintaining transparency about how long we retain information stored on our servers. This Data Retention Policy outlines how long we keep customer data during active service and after service termination.
- Scope of Policy
This policy applies to all customers using Hosting Point services, including :
- Shared Hosting
- Managed VPS Hosting
- Dedicated Servers
- Domain & Email Hosting
- Backup Services
It covers website files, databases, emails, backups, logs, and related hosting data stored on our infrastructure.
- Data Retention During Active Service
While your hosting service is active and in good standing:
- All website files, databases, emails, and related content remain stored on our servers.
- Regular backups may be performed based on your hosting plan.
- Data is accessible to the customer via cPanel, SSH, FTP, or other applicable access methods.
Customers are solely responsible for maintaining their own independent backups of their data.
- Data Retention After Service Termination
If a hosting service is:
- Cancelled by the client
- Terminated due to non-payment
- Suspended and not reactivated
- Terminated due to violation of our Terms of Service
Hosting Point will retain customer data for up to 7 (seven) calendar days from the date of service termination.
During this 7-day period:
- The client may request data recovery (if technically available).
- Data restoration may be subject to administrative or recovery fees.
After the 7-day retention period:
- All customer data will be permanently deleted from our servers.
- Backups associated with the account will also be permanently removed.
- Data will become unrecoverable.
- Hosting Point will not be liable for any data loss after this period.
Important Notice:
After 7 days from service termination, clients will no longer be able to retrieve, restore, or recover any data from our systems.
- Backup Policy Disclaimer
While we may provide automated backups as a courtesy service:
- Backups are not guaranteed.
- Hosting Point is not responsible for data loss under any circumstances.
- Customers must maintain their own offsite backups at all times.
We strongly recommend keeping regular external backups of your website, database, and email data.
- Legal & Compliance Retention
Certain billing records, invoices, and transaction history may be retained beyond the 7-day hosting data retention period for:
- Accounting purposes
- Legal compliance
- Tax regulations
- Dispute resolution
This retention applies only to billing and administrative records — not website or server data.
- Data Security
During the retention period, Hosting Point maintains industry-standard security measures to protect stored data from:
- Unauthorized access
- Data breaches
- Accidental deletion
However, once the retention period expires and data is permanently deleted, it cannot be restored.
- Customer Responsibility
By using Hosting Point services, customers acknowledge and agree that:
- They are fully responsible for maintaining their own backups.
- Data not retrieved within 7 days of service termination will be permanently lost.
- Hosting Point shall not be held liable for any damages resulting from failure to retrieve data within the retention period.
- Policy Updates
Hosting Point reserves the right to update or modify this Data Retention Policy at any time. Updated versions will be published on our website.
